Terms of service

These terms apply to all bookings made through BookingMaster widgets embedded on partner event sites. The full Partner Agreement is available on request from hotels@bookingmaster.travel.

1. Booking policy

Bookings made through the BookingMaster widget are confirmed at the moment of payment. Confirmation is sent by email to the address provided by the delegate. Each confirmation contains a voucher and the supplier hotel reference.

2. Accuracy of information

We display rates, room types, and availability as supplied to us by partner hotels. We make best-effort verification of supplier data daily. Reported discrepancies are reconciled at supplier rate within 48 hours.

3. Vouchers and check-in

Delegates present their voucher at hotel check-in alongside government-issued photo ID. Hotels are contractually required to honour every voucher we issue.

4. Cancellation

Cancellation terms are displayed at the point of booking and reflect the supplier hotel's policy at the time of reservation. Standard policy: free cancellation until 14 days before check-in; first night non-refundable thereafter.

5. Payments

We accept Visa, Mastercard, American Express, and SEPA bank transfer. Bookings are charged in EUR or USD as displayed at booking. Currency conversion, where applicable, is handled by the issuing card network.

6. Customer service

Our multilingual support desk is available from the moment booking opens through 30 days post-event. Response time SLA: under 4 business hours during the event window.

7. Indemnity

We indemnify event organizers and associations against supplier non-performance for any booking confirmed through our platform, up to the value of the booking plus reasonable rebooking costs.

8. Force majeure

Neither party is liable for failure to perform owing to events outside reasonable control, including natural disasters, public health emergencies, or government action affecting travel.

9. Confidentiality

Delegate booking data is processed solely for the fulfilment of the booking and the operation of the event. We do not sell, rent, or otherwise disclose delegate data to third parties.

10. Governing law

Governing law and jurisdiction are agreed in the Statement of Work attached to each Partner Agreement, in writing, before either party signs.
